| SETTING UP MULTIPLE MAILBOXES IN OUTLOOK EXPRESS |
First, open your Outlook Express program. On the left-hand side you should have the "main folder" called Outlook Express, with some sub-folders coming from it (Inbox, Outbox, Sent Items, Deleted Items).
To create a new folder, first decide whether you want it to be a subdivision of the main folder, Outlook Express, or, for example, a subdivision of your "Inbox". Let's assume you want four inbox sub-folders, for Steve, William, Andy and Mary. Highlight Inbox (by clicking on it) and click on File - Folder - New. This will bring you up a mini-screen entitled "create new folder" with a long box for you to type the file name into: underneath it will say "Select the folder in which to create the new folder" - check that the correct folder is highlighted. Type in (say) Steve, in the long box, then click on OK. When you return to the usual screen, you will find that Steve has come up as a subdivision of your Inbox folder (if it isn't visible, simply click on the little plus sign by the Inbox folder, to get it to drop down. This will turn the plus into a minus sign; to "put the folder away again, simply click on the minus sign. You set up the folders for the other three names in just the same way: each time check that Inbox is highlighted as the folder you want the newly-created folder to be a subdivision of.
If you set up an "inbox rule" for each of your names, you will find that mail for each person will automatically drop into his or her "mailbox". Also, that when such mail arrives, and goes into its mailbox, that the Inbox will "open up" so you can see the sub-folders, with a bracketed number against each to show how much mail each has received.
We are assuming here that you have a separate e-mail address for each individual (eg steve@johnbull.force9.co.uk , william@force9.co.uk , etc.). If your service provider doesn't allow you unlimited e-mails, you may wish to relocate with one who does.
Now you know how to create multiple mail folders [you should be able to set up unlimited sub-folders for your inbox or within Outlook Express itself, eg we have a main folder for Directory Charities and then subfolders for each charity within that], it's time to set up your "Inbox Rules".
To do this, click on Tools - Inbox Assistant. This should bring you up a blank big box with, below it, the options "Add", "Remove", "Properties".
Click on "Add", which will then bring up a "Properties" screen. At the top will be "When a message arrives with the following criteria" - select the "To" box and type in "steve@johnbull.force9.co.uk" [substitute your desired name and the rest of your e-mail address].
Half way down you have the "instructions" which will be carried out with such an e-mail - under "Perform the following action".
Select the "Move to" folder (by clicking on the little box next to "Move to", to get a tick to appear in there). This will then bring the word "Folder" into black type (it will have been faded grey until you placed the tick in the box) - click on Folder and you will get a screen which shows you the folder options available. If "steve" [or whatever name you've chosen] isn't visible, simply click on the plus sign by the Inbox to get it to drop down; then highlight "steve" and click on OK.
Then click on OK on your Properties screen, and you have now added your first Inbox rule. In future all mail which arrives for Steve should drop into his mailbox automatically.
Follow exactly the same process to add Inbox rules for your other e-mail addresses. You'll notice that at the side of your main screen you have a "Move Up" option and a "Move Down" option - these simply allow you to set priorities. Later, when you learn how to include Autoresponders in your "properties" rules, you may wish to send autoresponders for Steve's mail (but not to use them for certain types of e-mail, eg. Returned Mail advices). For example we have an Inbox rule which reads "If from contains 'Mailer-Daemon' then move to 'Returned Mail'" [a major folder we created within Outlook Express itself.
In our mailbox system, such a "rule" is applied before one which would go into a specific mailbox like "steve" - (a) it diverts returned mail which would otherwise clutter up the folders of whoever it's addressed to; (b) it prevents us sending inappropriate autoresponders.
To set such a "rule" as primary, simply highlight it (by clicking on it) and use the "Move Up" button until it gets to the top of your list of rules (or wherever you decide it would be appropriate for it to be).
You can modify the "Properties" of any rule simply by highlighting the rule and clicking on the "Properties" box. You can specify the "arriving criteria" (eg who it's addressed to, or who it's from", and you can later add to the instructions (eg not only where to move the file to, but also whether you want a copy of it to go into another folder ("copy to"). In Parts 10 and 11 we'll discuss how you can automatically forward mail through an "email2fax gateway" and also how you can send an automatic prepared response (autoresponder) to any incoming e-mail/s which meet specific criteria.
